Request a Change of System Owner in SolisCloud

When a property with a Solis PV system is sold or ownership otherwise changes, the SolisCloud system owner information may need to be updated (e.g., owner name, email, phone, address). This article explains who can request changes, what proof is required, and how to submit a request.

Data Protection & GDPR Compliance

We take data protection seriously. Any request to change the system owner in SolisCloud involves personal information, and we handle this data in full alignment with the EU General Data Protection Regulation (GDPR).

When to Use This Guide

Use this process if you need to:

  • Transfer the SolisCloud system to a new owner after a property sale.
  • Correct or update the owner’s contact details (name, email, phone, address).
  • Align SolisCloud records with legal ownership of the PV system.

Note: Installers can assist, but ownership changes require either (a) confirmation from the registered owner’s email or (b) valid proof of ownership for the new owner.

Who Can Request the Change?

We can process the request immediately if it is sent from the email address currently listed as the system owner in SolisCloud.

If the request is not sent from the registered owner’s email, we’ll need proof of ownership (see below) or a written authorization from the current owner.

What Counts as Proof of Ownership?

Please provide one or more of the following documents (clear, legible scans or photos). You may redact sensitive information not needed to verify ownership (e.g., payment amounts, full ID numbers):

Primary proof (any one is typically sufficient):

  • Property purchase deed or sales contract showing the new owner’s name and the property address.
  • Installer handover report or commissioning document listing the PV system at the property and the new owner.
  • Invoice from the installer or distributor for the PV system tied to the property address.

Secondary proof (helpful if primary proof is limited):

  • Recent utility bill for the property showing the new owner’s name and address.
  • SolisCloud system screenshot showing the plant/system and serial number(s), plus system address.
  • Warranty registration or serial number card matching the installed inverter(s).

Identity verification (only if requested by Support):

  • Government-issued ID (e.g., passport or national ID). You may mask ID numbers except name and photo.

Tip: If the installed inverter serial number(s) are known, include them—it helps us validate the system quickly.

Alternative Route: Authorization from the Previous Owner

If you cannot provide proof of ownership promptly, you may:

  • Ask the previous owner to log in and update the owner details directly, or
  • Ask the previous owner to email us from their registered email address authorizing the change.

Suggested authorization email text (from previous owner):

Subject: Authorization to Transfer SolisCloud System Ownership
I, [Full Name of Current Owner], authorize Solis to transfer the SolisCloud system for [Property Address / Plant Name] to [Full Name of New Owner], [New Owner Email].
SolisCloud account email currently on file: [Current Owner Email] Inverter serial no(s) (if known): [Serial(s)] Date: [YYYY-MM-DD]

How to Submit Your Request

Option A — Fastest:
Send an email from the current system owner’s email (as listed in SolisCloud) with the change details.

Option B — If emailing from a different address:
Provide proof of ownership (see above) or an authorization email from the previous owner.

Frequently Asked Questions (FAQ)

Q1. I don’t know the email currently registered as owner. What can I do?
A1. Send your request with proof of ownership. We cannot disclose the current owner’s email, but we can contact them on your behalf for authorization if needed.

Q2. The previous owner is unresponsive. Can you still transfer the system?
A2. Yes, if you provide sufficient proof of ownership (see accepted documents). We may require additional checks.

Q3. I’m the installer. Can I request the change for my client?
A3. Yes. Include your installer details and attach the handover/commissioning report and any sales/installation documents linking the system to the new owner.

Q4. Will historical energy data be preserved after transfer?
A4. Yes. Plant data remains with the device/plant; we only update account ownership and visibility.

Q5. Can you move the plant to a different SolisCloud account email?
A5. Yes. Provide the new owner’s email (ensure they can access it). We will update the binding so the plant appears under that account.

Q6. What about data privacy (GDPR)?
A6. We verify identity and ownership before changes. Please only send the minimum necessary data. You may redact sensitive fields (e.g., payment amounts, full ID numbers).

Helpful Tips to Speed Things Up

  • Include serial numbers and a plant/portal screenshot if possible.
  • Make sure names and addresses match across documents.
  • If you’re the new owner and have the previous owner’s cooperation, ask them to email us directly—this is often the fastest route.
